2.  NEW TERMINOLOGY

A "File Magic Document" is comprised of "Sections".  A
Section is one of three types:

        "File Magic Black & White Image"
        "File Magic Color Image"
        "Assorted Others" 

A File Magic Black & White Image section is created
when scanning with one of following options:

         B/W Line Art / Text
         B/W Halftone
         B/W Photo (only supported by some Fujitsu scanners)

or when importing a file that is one of the following
types:

         Monochrome PCX
         Monochrome TIFF
         Raw G3 data (i.e. EzFAX)

A File Magic Color Image section is created when scanning
with any other option than those listed above.  This
includes the color options and also the "shades of gray"
options. A color section is also created when importing a
file that is one of the following types:

         Color PCX
         Color TIFF
         Bitmap
         GIF
         JPEG
         TARGA

All other files that are imported are created as an "Assorted
Other" section in the File Magic Document.   There are more
details on scanning and importing later in this document.


3.  GENERAL INTERFACE CHANGES

The standard Windows Multiple Document Interface
(MDI) is now used in the product.  The effects on the
user interface are the ability to "Tile Horizontally",
"Tile Vertically", etc. These options appear under the
Window menu item.
  
All window positions and sizes are saved and restored (e.g. 
Document, Index Data, Document Groups, etc.).

Under the new menu item "Options", you may now toggle On/Off
the display of the Main window Status Bar and the Tool Bar.
  
There are now accelerator keys for many functions as listed in

Menus have been rearranged to accommodate new
functions and to improve the grouping of functions
(i.e., any operation that can be performed on a
Document now appears under the "Document" menu item).
  
The INI file is now named "fmagplus.ini". 
  

TOOL BAR

The tools are never given a "disabled" appearance.  
They just beep when selected if the operation is 
inappropriate at that moment.
  
As you move the mouse over a tool, a description
of what it does is displayed in the Status Bar.
  
New items on the Tool Bar:
  
         Zoom In
         Zoom Out
         Zoom Select
         Edit Section
         Launch
  
The Align tool is no longer on the toolbar since
template alignment is no longer a mode.  See "Document
Viewing" below for details on how to align a template.
  

4.  CONTEXT SENSITIVE HELP

There is a Help button on all dialog boxes to bring
up the Windows help for that particular area of the
product.
  

5.  IN BASKET

The font has changed in the dialog box to match all
other dialog boxes in the product.
  
When doing a "Change Description" and only one file
has been selected, the current description is the default
value.
  
There is a check box on the In Basket screen that allows
a file to be deleted after being inserted or replaced.
When the screen comes up, this box is always unchecked.
  
When doing either an Insert or Replace Section, the current 
viewed document is not listed in In Basket.
  
The system updates the Date/Time fields if the document
description is changed.


6.  DOCUMENT SIZE

A File Magic document may now contain up to 8,000
sections.  This has been increased from the 256 page
limitation in prior versions.
  

7.  DOCUMENT VIEWING

With the mouse over the Document window, clicking the
right mouse button displays a menu of functions supported for
that Document Section type.
  
When viewing a File Magic Black & White Image, you can
now do a Zoom In, Zoom Out, and a Zoom Select.  After doing
Zoom Select, you select a rectangle on the document to be
viewed.  Due to inconsistent aspect ratios (of the window versus
the rectangle selected), the portion of the document selected
will not be exactly what is displayed in the window.
  
When viewing a File Magic Black & White Image, you can now adjust 
the contrast (lighter or darker). The contrast setting is strictly 
a viewing function (i.e., no effect on printing), and is not 
saved. It does not affect the document itself.
  
Aligning a template is no longer a "mode". Instead, to move a 
single template field, hold down the <Shift> key on the keyboard 
and, while use the left mouse  button to select and realign the
individual field. To move the entire template, hold done the
<Shift> key and, without selecting any field in the template,
align the entire template using the left mouse button.
  
When viewing an "Assorted Other" section, the following menu of
options appear when the right mouse button is held down.  The
options you see are based on the current section's file "type".

8.  COPY TO CLIPBOARD

The Copy To Clipboard function for Text sections copies the
selected area to the clipboard. If no area is selected,
then nothing is copied.  The Copy To Clipboard function for
Bitmaps/Drawings copies the selected area also, but if no area
is selected, then the entire bitmap/drawing is copied.
 
    
9.  IMPORT

You may import any file.  There are about 140 file types that
are currently recognized.  Those that are not recognized are
considered "Unknown format".
  
For a file to be considered a "Text" file, it may only have 
characters from the set listed below:
  
      Tab (9)
      Linefeed (10)
      Vertical Tab (11)
      Form Feed (12)
      Carriage Return (13)
      Space (32)
      Values (33 through 127)
      Alphabetic Characters (character values depend on current 
      Language loaded)


Multi-page TIFF files are now imported as multiple sections into
a single File Magic Document.
  
There is a check box on the import screen that allows a file to
be deleted after being imported.  When the screen comes up,
this box is always unchecked.

For color files of the formats listed below that are imported,
the "Quality Factor" slider on the Import dialog box affects
the quality of the resultant image with the range being 1
(lowest quality) to 100 (highest quality - "lossless").
This Quality Factor defaults to 50 the first time the Import
screen is entered and then the value is saved for subsequent
Imports.
  
           Color PCX
           GIF
           TARGA
           Windows Bitmap
           JPEG
           TIFF - JPEG

10.  SCANNING
 
Color and Gray Scale scanning are now supported.

     RETRY OPTION DURING SCANNING
  
If an error occurs during scanning, File Magic Plus will display
a message box with Cancel and Retry buttons on it.  The user can 
select Retry to continue scanning if the error has been fixed 
(e.g., paper jam in scanner).
     
Note:  The user will not lose previously scanned pages, if any, 
even if Cancel is selected.  If there were truly more pages 
to be scanned into a single document and Cancel was selected, 
then a second scan can be done and the two documents combined 
by using Document menu's Insert option.
  
     SCAN DIALOG BOX

All settings from the Scan dialog box are saved and restored on 
subsequent scans. The first time this dialog box is brought up, 
the following are presented as defaults:
   
          Page Size:        Letter
          Resolution:       300 dpi
          Scan Types:       B/W
          LineArt/Text
          Margins:
               Top:         0.0
               Left:        0.0
               Right:       8.5
               Bottom:      11.0
          Intensity:        50
          Contrast:         50  (if available)
          Landscape:        off
          Use Adf:          off
          Use Front Panel:  off
          Process Mode:     Normal
     
If Use Front Panel is checked, most of the selections in the 
scanner settings box will be disabled. Deselecting this checkbox 
will restore the previous selections in the scanner settings box.
For certain scanner interfaces (e.g., Dunord used with Fujitsu),
you need to choose Start Scan BEFORE the Front Panel is enabled.
     
The quality factor will become active no matter what kind of 
scan-type has been selected in Scan Types Combo box if Use Front 
Panel checkbox has been checked.
     
Some scanners do not support contrast (Kofax/Fujitsu M309x). In 
that case the contrast scroll bar will be disabled.
     

     PROCESS MODE
  
File Magic Plus supports the following scan process modes 
depending upon different conditions:
     
a. The scan-type is B/W LineArt/Text and use Adf:
                  Normal Page
                  Single Page
                  Multi Page
                  Blank Page
        
b. The scan-type is not B/W LineArt/Text and use Adf:
                  Normal Page
                  Single Page
                  Multi Page
        
c. Flatbed Scanning:
                  Normal Page
                  Single Page
 
     LANDSCAPE
  
Landscape currently only works with one of the B/W scan types.  
If either a color or a gray scale scan type is selected, the 
Landscape checkbox will be disabled.  Please notice that the 
margins will be switched if the scanner settings are set for 
landscape scanning.
     

     QUALITY FACTOR
  
The quality factor is only used for either color or gray scale 
scanning.  If a black/white scan type is selected, the Quality 
Factor selection control will be disabled.
     

     AUTO INTENSITY / AUTO CONTRAST
  
Auto intensity and auto contrast only work with the scanners 
which support these operations (e.g., Fujitsu M309x with IPC 
board).  Please notice that some scanner drivers currently do 
not support these operations even if the scanner itself does 
(e.g., Kofax).

     
11.  FAX SUPPORT

The FAX Setup displays a list of FAX (i.e., Print) drivers for 
one to be chosen for FAX-OUT. This way, all fax packages that 
operate as a Windows print driver will be supported by File Magic 
Plus.
   
Also in setup, the user can now indicate a backup directory 
which may be located anywhere.
  
Any file in the FAX-IN directory of a type listed below will be 
imported:
  
    DCX (multi-page PCX)
    PCX (monochrome only)
    TIFF (single or multiple page)
    Raw G3 data (i.e.,  EZ FAX)
  
As before, multiple EZ FAX files are placed into a single File 
Magic Document (i.e., 12345.001 and 12345.002 become a two-section 
Document).
  
The FAX OUT dialog box allows the user to FAX out all documents 
as a single FAX or as multiple faxes.
  
  
12.  PRINTING

The user has a choice of which Section types should be printed.
If hardware is selected for printing (i.e., Kofax or Xionics), 
then only File Magic Black & White Images can be printed.
  
  
13.  EXPORT

The Export dialog box allows the user to select an export format 
for each type of Section that may be encountered during the 
export. If the user wishes to export as a File Magic Document, 
there is a check box to do that and the "Conversion Formats" 
are disabled.
  
If the export format for File Magic Color Images is either JPEG 
or TIFF - JPEG, then the Quality Factor selection control is
enabled to select the quality factor.
  
  
14.  DOCUMENT READ

An entire Document can be OCR'ed by using the "Read" option 
under Document menu item.  The resultant OCR can be placed into
the document before or after the current section, to a file, or 
to the clipboard.
  
  
15.  DOCUMENT INSERT FROM FILE

The user can now insert any type of file directly into a document 
instead of having to import it first and then doing an insert.
  
  
16.  DOCUMENT INFORMATION

The information dialog box now has only document information.
Another button appears to get additional information about the
current section.
  
  
17.  SECTION REPLACE FROM FILE AND IN BASKET

A section may be replaced directly from a file or from a document 
in the In Basket.  To replace a section in an archived document, 
the user must have edit mode on and have write and delete 
permissions.
  
  
18.  SECTION READ

An entire Section can be OCR'ed by using the "Read" option
under Document/Section menu items.  The resultant OCR can be 
placed into the document before or after the current section, 
to a file, or to the clipboard.
  
  
19.  SECTION EDIT AND LAUNCH

A document section of type "Assorted Other" may be edited by a 
user specified editor. This is done by selecting the menu option;
Document/Section/Edit. The editor is launched, the user makes 
the changes, saves the changes, and upon returning to File Magic, 
the section is updated. To edit an archived document, 
the user must have the edit mode On and have write and delete 
permissions.
  
To export a document to a user specified file and edit 
it using a user specified editor, select the menu options;
Document/Section/Launch. 

Under the Setup menu is an item named Launch/Edit Settings... 
This lets the user select an editor per file type.  For many 
file types, a default is given.  A check box labeled "Auto 
return on exit" tells File Magic whether or not it should 
detect if the application has terminated during an Edit 
Section operation. By default, this box is checked. For most 
applications, this will be the proper setting. For some, 
including WordPerfect for Windows, this should be turned off. 
If during an Edit Section operation, File Magic thinks the 
editor has been closed when in fact it has not, then this check 
box should be turned off.
  
The "Launch Table" (fmagic.lch) starts out in the directory in 
which File Magic Plus was installed.  The first time a user changes 
the settings using Launch/Edit Settings, a copy is put into the 
local machine's Windows directory unless there is a setting in 
the ini file as follows:

             LaunchTable=<full-path-and-file-name>

  For example:
  
             LaunchTable=N:\fmagic\fmagic.lch


If during either an Edit Section or Launch operation, the program 
is not specified or can not be located, the user is now asked if 
they wish to specify a program right there and try the 
Edit/Launch operation again. This avoids having to cancel all the
way back to the main menu to change the program setting.


20.  SECOND ABOUT BOX

There is a second about box that gives additional information 
including:

     Version Number (i.e. "3.0")
     Revision Number (i.e. "1")
     Serial Number(s)
     Number of Users (only for File Magic Plus for Workgroups)

This second about box is brought up by holding down the <Shift> 
key while selecting the About item under Help menu option.


21.  DELETE SECTION

Due to a Microsoft Windows limitation, only 4,672 section numbers 
can be displayed in the list on the Delete Section dialog box. 
Since a File Magic Document can now have up to 8,000 sections,
a second button appears on the dialog box in this instance to 
allow the user to select a different range to be displayed.


22.  NEW KOFAX VERSION (1.22)

File Magic Plus uses a newer version of the Kofax software.  
The implications for users of File Magic are various bug fixes 
from Kofax, support for the HP LaserJet 4, and support for the 
Fujitsu M3097E scanner.


23.  ADDITIONAL DOCUMENT INFORMATION

On the Document Information screen is now a count of how many 
sections of each type (i.e., how many Assorted Others, File Magic 
Black & White Images, and File Magic Color Images) are in the 
document in addition to the total count of sections.


24.  FIND FEATURE

When viewing an Assorted Other section which is a text/word 
processor document, spreadsheet, or database file, there are three 
new items on the menu displayed when the right mouse button is 
pressed over the document window:

     Find...
     Find Next
     Find Previous

The "Find..." menu item displays a dialog box allowing the user 
to enter a search string, initial direction of the search 
(forwards or backwards), etc.  The "Find Next" option finds the 
next occurrence of that search string moving forward in the 
document (regardless of search direction chosen on the dialog 
box).  The "Find Previous" finds the previous occurrence of
that search string moving backwards in the document (also 
regardless of search direction chosen on the dialog box).


25.  IMPORTING VIA DRAG & DROP

Drag & Drop is now supported by File Magic Plus as a means to 
import files.  One or more files may be selected from File 
Manager (or any other program that supports dragging files) 
and "dropped" anywhere over the File Magic window.  This 
operation may be performed no matter where you are in the 
product (as long as there is no dialog box currently displayed).
The following settings are used for the import: Single versus
Multiple File Magic Documents - whatever you last selected on the
import screen (Single if you have never before imported).

The files are imported into your login In Basket.

Color Quality Factor -  whatever you last selected on the import 
screen (50 if you have never before imported).


26.  NEW DATE FORMATS

There are now six new date formats supported for index fields:

     YY/MM/DD
     YYYY/MM/DD
     YY Month, DD
     YYYY Month, DD
     YY Mon. DD
     YYYY Mon. DD


27.  COPY TO FIELD

When viewing an Assorted Other section that is a text/word 
processor document, spreadsheet, or database, there is a new 
item on the menu displayed when the right mouse button is 
pressed over the document window: "Copy To Field".  This 
function allows the user to "drag" the selected text and "drop" 
it into one of the index fields.


28.  MINOR SCANNING CHANGE

When scanning, if the user is presented with the options menu 
and the user selects "Continue Document" or  "Continue/Change" 
and the ADF is empty, then the "No page in document feeder!" 
message will be displayed. Previous versions assumed that if 
there were no pages in the ADF after a "Continue" that the 
scanning was complete.


29.  SUPER GROUPS

The application now makes use of the database feature allowing 
multiple "Super Groups" within the product.  A Super Group is 
a logical and physical collection of document groups.  A Super
Group is physically represented by a file in the database 
directory with a name of the form GCx.DAT, where 'x' represents 
a number assigned by the database when the file was created 
(such as 'GC000001.DAT' or 'GC000004.DAT'). Document Groups are 
created within the Super Group file of the users choosing.

The user interface selected for creating and managing document 
groups within their respective Super Group is the same as the 
interface currently used for "Drawers" and "Search Folders". The 
user can open and close Super Group and create, delete and 
modify document groups within them.  The user can also move a 
document group from one Super Group to another via a 
"drag-and-drop" mechanism.  This moves not only the structure 
of the group, but all database records and indices (including a 
full-text index) associated with it (the document files
themselves are not touched).  The GUI representation is a true 
representation of the physical structure.

Super Group files currently have no security associated with 
them. The database engine does record the owner of the Super 
Group when it is created, for use in future security additions. 
The current lack of Super Group level security is compensated 
for by the document group security. In other words, in order to 
be able to delete a Super Group, you would have to be the 
owner of all remaining document groups that it contains (since 
you are deleting the contained groups as well).


30.  FULL-TEXT INDEXING

This version also introduces the ability to add a full-text index 
to a document group.  The full-text index is "tied" to the 
document group so that the database engine can effectively 
maintain document information, document group records and the 
full-text index -- keeping all data synchronized.

Creating a full-text index simply involves checking a box placed 
near the top of the "Create Group" dialog box. Once checked, 
the database will create the appropriate index files when the 
document group is created. 

A full-text index is deleted automatically when the document 
group is deleted or when the user unchecks the full-text box  
during modifying the document group.  If unchecking the 
full-text box is the only action the user took in the "Modify 
Group" dialog box, the database will not touch the group itself,
and only delete the full-text index.

The full-text index is maintained automatically by the database 
engine during indexing and deleting documents from the document
group.  This also includes adding and deleting sections of an 
existing document.

A full-text index can be added to existing document groups by 
checking the full-text box during modifying the group.  If an 
existing group already has documents with text sections when 
the full-text index is created through modify, existing 
documents will not be automatically added to the index.  The 
user must manually force the index to occur. This would be done 
by retrieving (or browsing) the documents and selecting a menu 
item to re-index the document.


31.  SEARCH CHANGES

Database and full-text search:

The search facilities of the database engine have been modified 
to support working with full-text index searches as well as some 
additional support for the separate/merge utility.  These changes 
should have no affect on any existing search logic or methods.

There are some considerations when performing a search that 
combines full-text and database searching.  The database will 
always perform all of the full-text portions of the search 
before any of the database criteria.  The database search engine 
will correctly evaluate search criteria between full-text and 
database records even though the searches occur separately.

Take a sample search folder definition:

[MAIN]Group:Full Text Contains File Magic Plus
[MAIN]Group:Version = 3.0
Also Include
[MAIN]Group:Full Text Contains File Magic Expert
[MAIN]Group:Version = 3.01

When this search folder is executed, the database will perform a 
full-text search looking for all documents in the document group 
"Group" that contains the phrase "File Magic Plus" OR "File Magic 
Expert". The full-text portion of the search will create a 
temporary file containing the results.  The database search 
engine will test the corresponding database records in "Group" 
to make sure the rest of the criteria agrees.  The database 
search will only test for "Version=3.0" on the records for the 
documents that contained "File Magic Plus". Documents that 
contained "File Magic Expert" but have the "Version" field set 
to 3.0 will fail the search, as they should.

"Last Modified" Search:

A new feature has been added to the GUI for creating Search 
Folders.

The user can now select the "Last Modified" date of the document 
to either search on or to sort the results by.  "Last Modified" 
currently applies to both the document and its indexed data 
record and is  updated to reflect the last modification date 
of either the record or document. "Last Modified" may also 
be used as the display caption.

Search GUI changes:

The GUI portion of creating a search folder has changed in order 
to support the use of "super groups".  In place of the list of 
Document Groups, there is now a hierarchical listbox that 
allows the user to open/close "super groups" and select 
document groups "inside" or the entire "super group" itself.

Search Folder "limit":

There is now a limit of 65,535 Search Folders that can be 
contained in each Drawer (not in total).


32.  STORAGE REQUIREMENTS

The database engine uses a different storage scheme for storing 
document group records and document information for the new 
version. This change significantly reduces the amount of disk 
space used by the database files. All information pertaining to
a document file has been centralized within the database, 
eliminating a lot of repetitive data storage as well as 
streamlining the process of updating the data.


33.  DOCUMENT CONTROL

The database has more efficient control over document information 
due to the more centralized format mentioned above and through 
the use of highly efficient memory caches. The database engine 
caches archive paths in memory to reduce the need to read 
document locations from disk, thereby speeding access to the 
image.


34.  SEPARATE/MERGE ("Service Bureau") SUPPORT

This version introduces the ability to selectively extract 
portions of a database as well as their corresponding document 
files for the purpose of importing to a remote location. The 
first implementation allows for several methods of specifying 
what documents to extract. More methods will be added to 
subsequent versions.  The user can select based on entire 
Super Groups, entire Document Groups, or selective documents 
based on the "Date Entered" and/or "Last Modified".  These 
selections can be saved by the user as a template, to be 
reused or modified at a later date.

The database extracts only the information necessary to 
re-create the data at the remote site.  Although the 
information exists to create whatever Super Groups or 
Document Groups are needed, the extracted data is in a reduced 
format which requires less storage space to reduce the size of 
the media needed to transport the data and documents.  This
means that the exported data cannot be accessed by any File 
Magic Plus until it is "imported" (not a "standalone" format). 
This also applies to the document files themselves.  The 
document files copied to the transport media are altered to
a form that is unusable until imported.


35.  ASCII EXPORT DATES

When exporting records to ASCII text format, date fields that 
are exported will now be written in the date format specified
when the document group was created.
